This is full time in-office Monday to Friday 9am to 6pm, with additional hours/times as needed to support evening/weekend events. No remote option available.

Responsibilities:
  • Coordinate event logistics
  • Perform event registration maintenance in our proprietary ticketing system including responding to attendee’s questions, making registration changes and providing updates to team members and clients
  • Set registration rules/parameters (early bird rates and dates, etc.) based on experience and past year’s registration data analysis
  • Communicate with clients and partners in a professional manner via emails, Zendesk, phone, in-person, etc.
  • Ordering and gathering all event supplies
  • Liaise with finance to have proper bookkeeping for all events
  • Provide post event debrief to Executive team
  • Actively use company systems to manage projects, i.e. Google Docs, Excel, Shopify, Stripe, Zendesk, Hubspot, TripleSeat and our proprietary ticketing system
  • Participate in the creative aspect of all events (emails, social posts, videos, production, etc.)
  • Cooperate with marketing and PR to promote and publicize event on website and social
  • Write/review emails for email blasts to groups regarding event details and new deals within Hubspot
  • Ensure event websites are up-to-date and have correct information (dates, pricing, etc.)
  • Create RFPs (request for proposal) to send to potential hotels/venue spaces for event
  • Conduct market research, gather information and negotiate contracts prior to closing any deals
  • Book a venue for events
  • Execute menu selection and guarantees/estimates
  • Coordinate outside vendors (i.e. AV or Production companies)
  • Design emergency contingency plans and contact sheet
  • Ensure compliance with insurance, legal, health and safety obligations
  • Be available for weekends and occasional travel

Requirements:
  • 2 years of experience planning large scale events
  • Capable of working well with internal and external teams/partners
  • Ability to work under pressure with strict deadlines in a fast-paced, changing environment while maintaining a professional and positive attitude
  • Ability to effectively solve problems, think creatively, make decisions and take action, exercising independent judgment
  • Strong project management, customer service and relationship building skills
  • Strong written and verbal communication, able to deliver clear, concise information tailored to specific and varied audiences
